OnLine Charge Sheet (eSlip)

eHealthTech can customize your office charge slip (eSlip), which may be printed out on demand from the Appointment Scheduling screen.   The eSlip may be used as a routing slip which can be marked by the provider or nurse to indicate services being provided.   Upon checkout the charge slip may be used as a tool to check off services provided to post them into the AdvancedMD system.

Responsible Party

This page contains the name and address of the person or company responsible for the patient. In case of a minor patient, this could be a parent. In case of a worker, this could be his/her employer. Statements are addressed to the Responsible Party’s address. One responsible party may have an unlimited number of patients linked to it. Statements may be consolidated by Responsible Party. This is also referred to as “Family Billing”.

Transaction Entry

Enter one or more charges in a “batch”.  AMD allows easy searches for patient and guarantor by name, chart and other indexes, searches for CPT, Modifier, and Diagnoses Codes by description.    Fees are automatically set based on the provider’s fee schedule, but may be overridden by the patient.   Charges may be cross referenced to the appropriate diagnosis (ICD9) codes.   Remarks may be entered to print on statements and other reports.

With the appointment list of patient already checked in to the practice on the left, users may easily check out patients, updating their status to checked out and removing them from the list of remaining patients.  This makes it very simple to account for all patients, minimizing risk of missing charges.  A copy of the patient bill can be easily printed.  Follow up appointments may also be made from this screen.

Dashboard – Production Activity

When you first sign onto your practice, you see the Dashboard with three tabs: Production Activity, Financial Health, and Billing Cycle.   On the Production Activity tab, you see your total Accounts Receivable in a graph with aging, updated daily.   Also see key totals: number of visits, charges, payments, adjustments.  Totals are calculated based on calendar date posted, not date of service.

On the second tab – Financial Health see key metrics that may be used to judge the efficiency of billing and collections.   AR DAYS is the average daily charge total divided into total A/R; Unbilled is the amount of charges not yet billed (this can be for any number of reasons); Excluded is the amount of charges that failed to pass the Ingenix claims scrubber edits built into AdvancedMD.

On the third tab – Billing Cycle see the number of Days to Post and Days to Bill.   The days are calculated from date of service and indicate the amount of delay or “lag time”.   The goal is to minimize these to as close to zero as possible.

eHealthTech defines the criteria for multiple worklist for insurance collections.    Worklists may be generated daily based on carrier, denial/reason code, or age of the unpaid claim.   Different payors have different criteria.   Each worklist may be directed to a user who is responsible for “working” off the accounts on the list.   Options to sort include ascending or descending balance due, payor, date of service, patient name, etc.

AdvancedMD reports all charges that were denied by insurance with a reason code in a special worklist which is assigned to users based on financial class or insurance company.   Lists can be sorted by reason code, date of service, patient, etc.

Report Center

Run any of over 100 reports.   Many reports have the option to select from a list of criteria for filters, selection of ranges of dates, facilities, providers, financial classes, procedure codes, etc.   Also, reports may be sorted in multple sequences, with up to three stacks of sorted fields.   Most reports may be downloaded as .pdf files or exported into Microsoft Excel files.

Task Management

The user will be notified when a task becomes due, and can view at a glance if there are any tasks that are awaiting action, via the Task icon in the status bar. When a task is due the icon will change to red and flash until the task has been viewed. Once the task is viewed, the icon will stay red until the task is completed.
